Most jobsite documentation is captured by a foreman wearing gloves, holding a coffee, standing on a concrete deck, a context where typing into a construction-management form on a phone is physically and linguistically impossible. RFIs get scribbled on a paper daily report, photographed on a phone, sent in a group chat, and re-typed by a project manager a day or two later. Half of them never make it into the system of record.

The brief for Field Smart was to collapse that whole loop into a single hold-to-record experience on the jobsite, voice-to-text tuned for construction-specific terminology, with AI form generation that turns free speech into structured outputs across daily logs, safety observations, timecards, equipment usage, RFIs, change orders, and JHAs. Captured at the deck. Filed per project. Synced to Procore overnight.

Hold the mic on the deck, the audio module captures up to 30 seconds, encrypts in transit, and pipes through OpenAI Whisper tuned for construction-domain vocabulary. Heavy accents, site noise, brand names that swap mid-sentence into another language, all transcribe cleanly. Live transcription streams back to the screen as the foreman speaks, so they know it heard them right before they let go of the mic.

A structured-output prompt then takes the transcript and returns the right form template's fields filled in: crew names, start time, activity, materials, equipment, RFIs flagged from issues mentioned, safety observations promoted to High when keywords trigger. The foreman lands on the Auto-Generated screen, scans the populated form, edits any field, and files. One tap. Filed against the active project. Queued to sync to Procore overnight.

Every captured form is filed against an active project the moment it's submitted. The Project Hub view is the operations layer the general contractor sees, every voice-recorded log, safety observation, timecard, and RFI from the foreman and from invited subcontractor orgs lands in the same chronological feed, language-tagged, authorship-tagged, and sync-status-tagged.

When a foreman says "the steel detail on grid C-4 doesn't match the drawings," the engine spots the keyword pattern, files an RFI against the active project, and routes it to the GC's queue with priority and trade pre-filled. Photos taken from the same screen are tagged with EXIF, GPS coordinates, and the parent log, every issue has a paper trail back to where on the deck it was raised.

Cross-org collaboration is built in: subcontractors join via project invite, no Field Smart license required on their end, and submit voice-fillable logs, photos, and timecards into the GC's project feed. The GC sees authorship, language, and sync status on every line. Every RFI auto-flagged from a voice note shows up in the Procore sync queue with an ETA per item, so the PM knows what's already over the wire and what's still queued.
