A medical practice runs on a Wednesday-afternoon spreadsheet.

Practice managers spend Wednesdays building next week's schedule in a spreadsheet, fielding time-off requests on WhatsApp, and re-arranging coverage when an MA calls in sick at 6am. The rules, minimum coverage per role per shift, certifications, hour caps, time-off honoured, no double-booking, live in the manager's head and break the moment they take a holiday.

Clinical Stack reads the natural-language requests, builds the schedule against the rules, and turns every coverage gap into an alert on the Home screen. GPT-4 powers the AI Assistant, and the whole operation, schedules, requests, staff, and reporting, runs on Bubble.

Schedules is the canonical calendar, month, week, and day views, filterable by location, department, and status, with every shift marked fully-, partially-, or empty-staffed, and one-click export.

Shift Planning is where coverage gets built against the practice's staffing rules, and Locations keeps each clinic's site, hours, and requirements in one place, so one schedule can span a multi-site group.

04 / 06Requests & the AI Assistant

Every request, approved with confidence.

Manage Requests is the manager's queue, time-off, shift-swaps, and overtime, each with the staff member, dates, context, and an Approve / Decline gate. Scheduling Requests collects the staff-initiated asks before they ever hit the schedule.

And the AI Assistant sits on top of all of it: ask in plain language, "what needs my attention today?", and it summarizes pending requests, flags understaffing, and can create schedules or assign staff on request.

Every gap and every hour, in one report.

Reporting turns the schedule into evidence: coverage against targets, understaffing by staff and by period, hours worked, and the patterns behind the priority alerts, the same numbers the Home screen surfaces, laid out to review and export.

Managers can see who is short of their target shifts, where the skill-mix gaps fall, and how coverage trends over time, so staffing decisions rest on data, not gut feel.

The rules the whole schedule obeys.

Settings holds the practice-wide configuration, coverage targets and staffing rules, shift types and hours, roles and permissions, notification preferences, and account and billing details. Change a rule here and every schedule, alert, and report downstream reflects it, so the operation stays consistent across locations.
